Description

A.T. Still University (ATSU) is seeking a full-time non-exempt Senior Administrative Assistant on the Mesa, Arizona campus. This position performs a wide range of administrative and general support duties of a highly responsible and confidential nature. The Senior Administrative Assistant reports to high-level cabinet members involved in numerous dynamic and confidential considerations of strategic organizational relationships.

Duties & Responsibilities:

  • Supports the Vice President of University Partnerships and the Office of the President.

  • Oversee Departmental Calendar: Manage, organize, prepare, and maintain schedules to support all events and deadlines within University Partnerships and be consistent with ATSU event calendars.

  • Schedule meetings and discussions.

  • Book travel and travel accommodations and prepare meeting schedules, travel expense reports, and travel packets.

  • Daily communication with university partners.

  • Maintain, update, research & disseminate the Health Center Residency Spreadsheet.

  • Collaborate with ATSU colleges and departments to maintain and update Community Health Center and NACHC leadership Contact Spreadsheets.

  • Reserve conference rooms and classrooms for departmental meetings and events with students.

  • Assists Senior Executive Assistant to the President with office operations and university administration needs.

  • Assure broad administrative coverage services by serving as a backup for the President & Senior Vice President of University Planning.

  • Assist the Senior Director of Facilities as needed.

  • Duties include US mail (monthly reporting of mail usage and interoffice mail), UPS and FedEx material orders, mailroom organization, and assisting as needed with the front desk in the main building.

  • Provide administrative support in purchasing, professional correspondence, scheduling coordination, and meeting planning for the vice president and associate vice president. Maintain calendars, regularly arranging meetings, conferences, travel, and appointments; note location, agendas, background data, driving instructions, airport transportation, etc.

  • Organize research and gather data to complete reports, projects, and presentations.

  • Support the hometown scholars program and the coordinator as needed.

  • Oversee, plan, manage, and occasionally travel to departmental projects to support events.

  • Organize, plan, and manage the NACHC-ATSU virtual/in-person Recruitment Fairs (MO, AZ, Ca), track metrics, and analyze data for effectiveness.

  • Organize ATSU Annual Reception and program steering committee meetings held during the NACHC CHI & EXPO and P&I Conferences

  • Collaborate to organize ATSU attendees to the NACHC-CHI

  • Collaborate with NACHC to organize, plan, and manage the NACHC-ATSU Research Summit

  • Organize the ATSU Partner Visioning Meetings

  • Assure accurate and timely schedules and communications for annually scheduled partner events.

  • Other duties as assigned.

Education & Experience:

  • Bachelor's degree preferred; equivalent experience as senior administrative support may be considered.

  • Three to five years of experience with administrative duties in an office or higher education environment.

  • Experience with Microsoft office suite of products, Adobe Pro, internet skills to book travel, Gmail or Outlook email and calendar management.
