Contract Administrator



  1. Receive and review requests from the Sales Desk and Territory Mangers to prepare contracts for the customers and dealers in the Northern Region of Latin America.

  2. Receive and review requests from the Customer Service and Modifications Representatives to prepare modifications documents for the customers and dealers in the Northern Region of Latin America.

  3. Prepare in house several type of contracts for México and Colombia such as finance & operating leases, loans, promissory notes, factoring, transfer and assumptions agreements, modification agreements.

  4. Preparation in house of the contract instructions for the elaboration of contracts by outside counsel according to the legal requirements of each country in Central America, Caribbean and North of South America.

  5. Prepare and coordinate with outside counsel a mortgage guarantees and corporate guarantees.

  6. Verify the quote information and enter the customer legal information and assets / contracts information into the local operating system prior to send to the Territory Managers (TM) and dealers.

  7. Process the booking of the assets / contracts into the local operating system according to the financial product terms and conditions.

  8. Process the funding request of the contracts into the local operating system according to the financial product terms and conditions.

  9. Follow-up the completeness of legal and contract files. Maintains and update company’s databases regarding legal documents of the area.

  10. Review returned contract file package for completeness and accuracy.If additional information or documents are needed, the Contract Administrator communicates with the dealer, outside counsel, Sales Support Rep or TM to obtain such information.

  11. May track receipt of and proper filing of documents related to new business and renewals of previously booked business.

  12. Complete the lien registration of the assets in the Unique Mobile Assets Guaranty Registry (RUG).

  13. Registration of guarantees released (terminated contracts) in RUG.

  14. Maintain control of guarantees registered in Central America, Caribbean and North of South America.

  15. Verify insurance coverage to complete the contract file.If additional documents are needed, contacts the Sales Support Rep or TM.

  16. Process payment of invoices from suppliers such as file storage, notary public, outside counsel and insurance companies.

  17. Participate in accomplishmentof continuous improvement objectives for the department. Progress toward accomplishment of these is measured through maintenance of necessary measurements and analysis of associated data.Participates in the identification of problem areas and development of resolutions to address them.

  18. Assure the appropriate Key Core Process (KCP) measurements are input for tracking purposes to improve processes and customer satisfaction. JOB REQUIREMENT. SKILLS, ABILITIES AND KNOWLEDGE:

  19. Knowledge of Caterpillar products and Cat Credito & Caterpillar dealer processes.

  20. Demonstrated knowledge of finance / leasing products, policies and procedures.

  21. Advanced knowledge of the CFSC / Cat Credito local operating system.

  22. Demonstrated ability to apply effective oral, written and listening communication skills with dealers, customers and company personnel.

  23. Demonstrated ability to effectively manage numerous tasks.

  24. Ability to apply math computation skills.

  25. Ability to apply data collection and analysis skills.

  26. Ability to prepare and maintain spreadsheets.

  27. Ability to use a keyboard for 80% of the workday.

  28. Ensures that all responsibilities are carried out in an accurate and timely manner.

  29. Has a sense or urgency and willingness to accept accountability.

  30. Develop and maintain good interpersonal relationships, working effectively with others inside and outside the company.

  33. Desired knowledge of local and international contract law.

  34. Desired knowledge of local and international financing and taxation principles.

  35. Preferred ability to calculate amortization schedules.

  36. Desired knowledge of Caterpillar customers and their industries.

  37. Desired knowledge of local and international requirements of filing security interests.

  38. Ability to speak, read and write in English on a fluent level. EDUCATION/EXPERIENCE: A 4-Year College or University degree is required and a minimum of 2 years experience in contract, credit or customer services administration or equivalent is preferred.
