Essential Duties:

This position is responsible for supporting Accounting Manager per visor to close the Corporate books, ensuring the accuracy and timeliness of the Corporate Financial Statement. As a team member, you must be accountable and take full ownership for assigned projects and responsibilities. Safeguard assets and assure accurate and timely recording of all transactions by implementing disciplines of internal audits, controls and checks across all departments. You must be a quick learner who thrives in a fast-paced environment, produces quality work product, stays focused under pressure and gets the job done. Ability to be flexible on work schedule to meet business demands, i.e. month-end and some weekends. Ability to work with all levels of employees ranging from clerical level employees to senior management.

Responsibilities Include:

  1. Understand, support and follow the Corporate Vision, Mission & Values Statements.

  2. Understand, follow and support internal Quality System policies, procedures and work instructions including but not limited to applicable external regulations (21 Code of Federal Regulations Part 820 Quality System Regulations and applicable International Standards).

  3. Responsibilities for this position include, but are not limited to:

  • Accounts Payable (AP):

  • Process and review Accounts Payable (AP) transactions on daily basis, following the internal control procedures and post transactions properly and thoroughly.

  • Stamp and voucher payables when invoices received. Review and process employee's travel expense reports.

  • Reconcile and record Company Credit Cards expenses, and arrange payments

  • Run AP Aging reports and process check runs on a weekly basis. After Accounting Supervisor's review and Controller's signature, mail out payments and file payment documentation in the AP file.

  • Review and update vendor information in ERP system, and make sure the W-9 forms obtained for new vendors and maintain AP files for 1099 reporting purpose.

  • Reconcile AP module to the General Ledger (GL)

  • Research and resolve questionable expenses with vendors and internal personnel on a timely manner. Other miscellaneous clerical duties including filing, posting, and running management reports.

Accounts Receivable (AR):

  • Cooperate with and backup AR or other team members as necessary.

  • On a daily basis, manage Cross checks and post credit card and checks payment received.

  • On a daily basis, review invoices, including on-line billing and post them in ERP system according to working instruction. Make sure daily invoices are mailed or emailed to customers on time.

  • Resolve any billing related issues with other team member or customer service.

  • Post Credit or Debit Memo and apply to customers' accounts when warranted.

Monthly Reports/Month-end closing:

  • On a monthly basis, generate sales reports and review activity for accuracy.

  • Prepare and review Access Commission Reports. Reconcile to GL and propose Journal entry if necessary.

  • Track and maintain fixed asset ledger by coordinating with Sample/Demo coordinator. Prepare schedules for reporting of fixed assets.

  • Reconcile assigned GL accounts and propose journal entry if necessary, and take the appropriate actions to clear all reconciling items.

  • Assist with Monthly expense variance analysis.

  • Prepare financial related ad-hoc reports upon request. Maintain assigned month-end schedules and year end schedules.

4. Assist in Sales tax reports and payments;

  • Assist in the monthly generation of CA and TX sales tax reports and payments.

  • Obtain tax status for customers and tax exemption certificates when applicable and organize paperwork.

5. Assist in the preparation of annual audit and Year-End Closing.

  • Assist with Quarterly and Annual tax filings.

  • Assist with Quarterly balance sheet and P&L Fluctuation Analysis.

  • Assist with yearly 1099's preparation and distribution to vendors.

  • Assist in the preparation of annual audit and Year-end Closing. Ensure accuracy of financial statements in accordance with GAAP and compliance to internal policies.

6. Responsible for related duties as required or assigned.

7. Complete special projects and miscellaneous assignments as required.

Pay Details: $31.00 to $35.00 per hour
